Influencer seeding campaigns are a powerful way to build your brand, showcase products, and reach new audiences. However, sending products to a spreadsheet full of influencers can be very frustrating for marketing and operations teams in Shopify. With Send To Many, Shopify merchants can efficiently handle these orders by streamlining the process of uploading all the recipients, generating individual orders and keeping track of shipping status. This guide walks you through how to create a bulk influencer order using Send To Many.
Step 0: It always starts with a spreadsheet
Send to Many simplifies the entire upload process, starting with your order spreadsheet, whether that's a file your marketing or PR team sent or a standard template you use for these orders.
In most cases, Send To Many can handle your existing order spreadsheet without making changes, so get started by creating a send with your existing influencer spreadsheet. Or here's a sample order upload file (with several upload format options) to test with.
Step 1: Details & Upload
The app comes with several preset "Send Types" to get you started quickly. Use the "Influencer Seeding" option for this walkthrough. See our "Send Type Settings" article for more detail on managing settings.
Give your Send a name for internal use. For customer, pick yourself or another internal customer that all the orders should associated with. For shipping options, use "Free Shipping" since there won't be a charge for them.
Sends for marketing purposes usually handle discounts and order generation in one of two ways:
generate "$0 orders" and leave discount blank. Your orders will be created with $0 product value, and $0 for tax, shipping and totals. This is the best way to ensure these marketing orders don't show up in your store's revenue reporting.
use a 100% off coupon and use the "marked as paid" order generation option. This is best if you use specific coupon codes to track your marketing product costs. The orders will show up in revenue reports, under a "Send to many" payment method and sales channel, with full product costs and the full discount value.
Next, upload your recipient list. The app automatically maps as many columns as possible to the required order fields. You can also map your product columns or any additional info like card messages, delivery dates, etc.
Check out our article on formatting your bulk order upload for additional info. Once you've mapped all your columns, we'll save the mappings for the next time you use this upload format.
Step 2: Review Products
If you've included one or more product columns in your upload, you can confirm those selections in this step. The app will do its best to find a matching product on your store. If there are multiple matches or no matches, you can select the product those orders should receive.
If there are no products in your upload file, you'll be able to select one or more products to apply to all orders in your Send.
If you already have the inventory set aside for these orders, you can also adjust inventory handling to not tap your store stock for these orders.
Step 3: Review Recipient Info & Addresses
If you're on Growth plan or higher, we'll automatically fix basic errors with your addresses whenever possible. Things like an incorrect state/province code or missing zip code. We'll give you suggestions wherever possible for other fixes that we can't make automatically.
On the Free Starter plan, we'll alert you to missing or invalid information and make it easy for you to fix the issues without having to go back to your upload file.
Step 4: Select Shipping Rates
If you selected a free or fixed rate Shipping option, you'll skip over this step.
If you chose "calculate rates", Send To Many queries Shopify to pre-calculate available shipping rates and taxes (if any) for every order in your Send. We'll return a list of all the available rates and let you apply available rates to all orders, either in batches or individually.
Step 5: Finalize and Generate All Orders
You're almost there! Review all the info and settings for the send. You can update Notes, Tags or Additional Details if those weren't uploaded.
If you track your influencer orders with a tag, add it to the tags section on this page.
Also note the delivery notifications option. By default, we suppress all delivery notifications generated by Shopify (or send through a third party tool like Klaviyo). However, if you want to let your influencers know their orders are on the way, you can select the "send to recipients" option. As long as you've uploaded email addresses for your recipients, they'll get the regular Shopify delivery status emails generated by your store.
When you're ready, click "Process all orders".
You can leave this page while we process all your orders. Each order takes a second or two to generate. We'll send a notification email when your Send is complete.
Send Summary Page
Once all orders have been generated, you'll have a Send Summary page to review all the send info and keep track of order statuses. This is also useful for keeping your marketing team updated on the delivery status of their influencer sends. If they have access to Shopify, you can share the link to
If there were any errors generating your orders, you'll be able to fix them right from this page.
You can also download a spreadsheet with status info for all orders in the Send, to keep internal stakeholders up to date on the status of these shipments.
By following these steps, you can effectively manage influencer gifting campaigns using Send To Many, providing a seamless and personalized experience for your influencers while streamlining your internal processes.
